The documents in the document store (repository) can be grouped and viewed by internal document meta-data. RocketDMS keeps a database of meta-data (Document Tags) in which you can enter any information that you want. In the Navigator, using the By Tags view, you can display all documents grouped by these tags. Many documents types (PDF, MS-Office, OpenOffice, Images) also contain internal meta-data. It would be useful to view documents grouped by some of this internal meta-data as well. This can be achieved by using the internal meta-data that is harvested out of documents by the full-text indexing process. The internal meta-data is mapped to RocketDMS document tags causing the document tags to be automatically populated with harvested meta-data. Documents can then be grouped and viewed in the normal way.
Here is how: In this example we want to view documents by the original author taken from internal meta-data. Ensure that you have a RocketDMS document tag to hold any harvested author meta-data. Go to Configuration, Database tab. Here we create a RocketDMS document tag called author.
Ensure that full-text indexing is turned on in the configuration.
Set up the meta-data map to have RocketDMS document tags automatically populated with harvested meta-data.
Here we are harvesting meta-data from files *.doc (Word documents) , *.eml (Emails) and *.xls (Excel spreadsheets).
In word documents any internal meta-data called author will be placed into the RocketDMS document tag author and similarly for excel spreadsheets. From emails the contents of any from line will be placed into the RocketDMS document tag author.
Now, after indexing documents, when you view By Tag in the navigator expand the author branch.
All documents are now grouped by original author taken from the document's own internal meta-data.
